  1. Please avoid single line reply to customer.
    Example: Okay, Sure, etc..

  2. All queries must be answered while replying to customer/clients.

  3. Use Hello <Clientname>, at the starting of conversation.

  4. Greet the customer. Eg., ‘Greeting from PheonixSolutions’, ‘Thanks for contacting Pheonixsolutions’,’Welcome to PheonixSolutions’, ‘Good Morning from PheonixSolutions’

  5. Always give periodic update to the customer. Client will feel happy if he/she gets progressive updates.

  6. Provide proper proof to your works to the customer such as screenshot, attachments, text documents, architecture diagram, etc.,

  7. Explain the customer how we resolved the issue.

  8. If we don’t understand client requirements/replies, please discuss in internal chat before reply to client. It will be a bad remark on us if we don’t understand client’s requirements.

  9. Try to explain what is the issue you are facing and inform to client.

  10. Always loyal to the customer. If we made any mistake then accept the mistake to the client

  11. Always share the login details to registered contact/email account.

  1. Start a conversation with greeting words. Don’t use “Hello” while speaking to the client. Use ‘Welcome to PheonixSolutions!’, ‘Thanks for contacting PheonixSolutions’, ‘How can I help you’

  2. Refrain asking confidential information in phone such as Credit card, Banking information,etc.,

  2. Always start a new mail thread when the issue resolved.

  3. Add your signature at the end of your reply.
